岗位职责和要求
Key responsibilities:
- Assist VP in daily affairs, provide all administrative support to VP, including but not limited to calendar management, travel and logistic booking & arrangement, visa consulting & application &approval, meeting set-up and arrangement, reimbursement management, etc.
- Responsible for visitors reception, organizing company related activities, and internal staff welfare distribution.
- Support VP to coordinate with overseas team members/ internal x-functional/business partners/external clients to arrange meetings and events.
- Organize local meetings, including venue arrangement, catering arrangement and logistics support, team meeting/building, etc.
- Provide general administration support include but not limited to: Office environment management if needed: Cleaning\security\Plants\Property management
- Co-work with other functions such as HR/Fin/C&P in terms of department cost summary and checking, vendors & suppliers selection and management.
- Other tasks as required under the normal management or as directed by VP.
- For A&P, need to work on yearly team planning and control the gap between rolling forecast and final landing every month.
- For OVH, need to control total team T&E budget and remind VP/ team leaders in advance if we will overspend the money
Managerial competencies & personal aptitudes:
- Fluent English in both spoken and written to manage daily communication with overseas team, internal and external stakeholders.
- Good inter-personal skills, ability of problem solving and multitasking
- Have a general sense of team financial budget control, including A&P, OVHMature sense of compliance, strictly abide by the company regulations and confidentiality for any company data and line-manager personal information.
- Excellent coordination skills, ability of multi-stakeholders management
- Enjoy and be willing to do administrative work
- Proficient in Microsoft, software, especially in Outlook, Excel and PPT, webex etc.
Qualifications:
- At least 5+ years’ related experience in multinational companies.
- Extensive experience working in a complex organizational structure (FMCG a preference).
- Hands-on experience in providing administration support & assistance in multinational companies.
- Good command of written and spoken English and Chinese
